IMPORTING and EXPORTING STUDENTS
FROM LEGACY LB TO LB2
AND
FROM LB2 TO LEGACY LB

PROBLEM:
Importing and Exporting Students from Legacy LunchBox to LunchBox2 and From LunchBox2 to Legacy LunchBox

 

SOLUTION

Notes:  A backup of the student file is automatically performed before any changes are made. The backup filename is created from the system time. (ie. FJ + hhmmss +.DBF) so a backup created at noon would be named FJ120000.DBF and FJ120000.CDX and FJ120000.FPT.  Only if exporting Students.

If you have problems with the student file after the import rename those 3 files back to STUDENT.DBF ; STUDENT.CDX ; STUDENT.FPT or restore the backup you did.  Only if Exporting Students.

Complete student files can be exported from or imported into Legacy LunchBox as well.

Exporting files from Legacy LunchBox using Fox2Jav2 does NOT remove any student data from the Legacy lunchBox student file.

In order for this Utility to work it must be ran from the Legacy LunchBox folder ( C:\LUNCHBOX ) and a successful End Of year must have been completed where Graduating Students were exported to a floppy disk.

This must be run in the LunchBox folder. (I would suggest modifying the Memory properties of the EXE to match those of the LunchBox EXE.)

To move graduates from a Java LunchBox2 site to a Legacy LunchBox site.:

At The Java LunchBox2 Site:

1.   Before continuing run an EOD to make a Backup.

2.  Go to Communications >> Participant ExportSettings.

3.  Create a new Job by Copying  the "LunchBox POS Graduate Export (version 2.0)" to a new Export Job (something like 'Export Graduates to Legacy (Fox2Jav2)').

4.  Modify the export to use a COMMA instead of a TILDA ( ~ ) as the delimiter.

5.  Change the first column of the export from ParticipantID to POSID.

5.  Modify the export filename to GRADEMPT.TXT.

6.  Perform End Of Year Maintenance to populate the GRADS table in the SQL database.

7.  Perform the new export you just created.

8.  Move the new GRADEMPT.TXT file to the LunchBox folder at the Legacy site (Typically C:\LUNCHBOX ).

At the Legacy Site:

1.   Perform a Daily backup before proceeding.

2.  Run FOX2JAV2.EXE.

3.  Select "Import Students Into LunchBox".

4.  Follow onscreen instructions.  Select "APPEND to existing Student File" when prompted.

To move graduates from a Legacy site to a Java site:

At the Legacy LunchBox Site

1.   Perform a Daily backup before proceeding.

2.  Perform legacy End of Year procedures to Graduate Students to populate the Grads table in Legacy LunchBox.

3.  Run FOX2JAV2.EXE.

4.  Select "Export Students From LunchBox".

5.  Select "Graduate File Only".  (The information for Graduating students is pulled from the UPLOAD.DBF file instead of the GRADS.DBF.  For this to occur the EOY process must have successfully transferred the Graduating students to a Floppy Disk.  If this is not the case, contact support for assistance.)

6.  Select export location: LunchBox Folder or Floppy Diskette.

7.  This creates GRADEXPT.TXT.

At The Java LunchBox2 Site:

8.  Move GRADEXPT.TXT to the location specified in the POSBO import "LunchBox POS Graduate Export (Version 2.0)"  Look under Communications >>  Import from the Back Office Menu.

9.  Change the filename to the filename specified in the POSBO import "LunchBox POS Graduate Export (Version 2.0)".

10.  Perform the POSBO import "LunchBox POS Graduate Export (Version 2.0)".

Each column must be represented in the text file even if there is no data in the column.

If the only data that your text file contains is POSID, Homeroom, Last Name, Middle Name, 
and First Name then a single record in the file would look like this example:
